This Refund Policy explains how cancellations, refunds, and deposits work for bookings with Hardev Motors. Specific percentages and deadlines for your trip may also be stated on your booking confirmation, invoice, or separate agreement; where they differ, those document terms apply to that booking.
1. Deposits
A deposit is usually required to secure your place on a tour or service. Unless we agree otherwise in writing, deposits are non-refundable because they cover administration, planning, and reserved capacity. Any refund of a deposit is at our discretion and only where we confirm it in writing.
2. Cancellation by You
If you cancel a confirmed booking, refund eligibility for amounts paid beyond the deposit depends on how far in advance you cancel and what we can recover from third parties (for example accommodation or permits). As a general guide (unless your confirmation states different dates):
- More than 60 days before the start date: we may refund a portion of the balance paid after the deposit, minus any non-recoverable costs.
- Between 30 and 60 days: a partial refund or credit may be offered, depending on costs already committed.
- Fewer than 30 days: no refund of the balance is typically due unless we are able to fill your place; any exception is at our discretion.
All cancellations must be requested in writing (email to the address below). The date we receive your email determines the notice period.
3. Cancellation or Changes by Us
If we cancel a tour or service before it starts (for example due to minimum numbers not being met, safety, force majeure, or government restrictions), we will offer you a reasonable alternative (such as another date or tour) or a refund of amounts you paid for the cancelled service, excluding any third-party costs we cannot recover. We are not liable for additional expenses you incurred (such as flights) except where required by law.
4. No-Shows and Late Arrival
If you do not join the tour or service on the agreed start date without having cancelled in accordance with this policy, no refund is due for missed days or the full booking, unless we agree otherwise in writing.
5. How Refunds Are Paid
Approved refunds are processed to the original payment method where possible, within a reasonable period (typically 14–30 business days) after approval, depending on banks and payment providers.
6. Travel Insurance
We strongly recommend comprehensive travel insurance that covers cancellation, medical costs, and motorcycle-related activities. Insurance claims are between you and your insurer; they do not change the cancellation terms in your contract with us unless we have agreed otherwise.
7. Changes to This Policy
We may update this Refund Policy from time to time. The "Last updated" date will change when we do. Bookings confirmed before a change remain governed by the policy (or confirmation terms) in effect when you paid your deposit or confirmed, unless we notify you otherwise.
